Registration
Registrations can only be done by the parent or legal guardian of the participant. If a student is registered by someone other than their parent or legal guardian, they will not be allowed to participate until the registration paperwork is completed by the parent or legal guardian. Due to the family and child-centered nature of our program, we are able to make changes to our schedule to accommodate the needs of our families. If you cannot find a class that fits your family’s needs, please contact us directly and we will assist in finding openings (sometimes we can move things around a little)! If you need to cancel prior to starting lessons, we do have a 24-hour grace period after registering to cancel without penalty. Contact us within 24 hours of registering online if you need to cancel and all fees will be waived. However, after the 24-hour grace period all cancellations must follow the guidelines below. There is a $25 registration fee per student ($40 family maximum).
Billing & Tuition
Billing
We require all new enrollments to provide billing information at the time of enrollment. The $50 non-refundable deposit and all registration fees are charged within three (3) days of registration. The balance for summer lessons will be charged thirty (30) days prior to the start of the session. If you enrolled less than thirty (30) days before the session starts, tuition and all fees will be charged within three (3) days of registration.
Tuition
The tuition fee for daily & weekly classes is $230 per session per student (8 lessons per session). There is a one-time $25 registration fee per student, with a family maximum of $40.
Summer Lesson Withdrawal Policy
- To receive a full refund (less the registration fees), we must receive written notification no less than seven (7) days prior to the start of the session (i.e., to cancel, we would need to be notified no later than the Monday before the session starts). Please submit the Summer Swim Enrollment Withdrawal Request.
- Cancellations received less than seven (7) days before the start of a session will receive a 50% refund ONLY if the vacant spot is filled prior to the start of the session.
- Once a session has begun, we cannot give refunds for cancelled lessons. Failure to cancel prior to the session start date will result in a forfeit of all tuition costs.
- All refunds are subject to management approval and can take up to thirty (30) days to process
Summer Lesson Location & Arrival
Location
Summer lessons are located at our outdoor Carmel location which is located at 1463 Queensborough Drive, Carmel, IN 46033. This is in the Woodgate neighborhood off of 146th St.
Arrival
Follow the signs for parking upon arrival. Do not park on the street. There is a large parking lot on the north side of the house. Please enter through the gate located on the north side of the pool. Check in at the table on your first day and the Deck Supervisor will call students when it is their turn.
Absences & Make-ups
Absences MUST be reported at least 2 hours before the missed class. Students are allowed two (1) make-ups per session. If the student will miss more than two classes, we recommend finding a different session/time that better suits your schedule. Make-ups are available in other classes with availability, but are limited.
Reporting an Absence
To qualify for a make-up lesson, you must notify us prior to the absence. All reported absences are eligible to be made up within 3 months of the absence. There are a few ways that you can notify us of a swimmer’s absence.
- Log into the Parent Portal, select “Absences & Make-ups” from the menu in the top right corner, and schedule your child’s absence.
- Send an email to info@aquaticabilities.com letting us know the date your student will be absent.
- Send a text to (317) 439-9831 with your child’s first and last name and the date of absence.
Requesting a Makeup
We do our best to schedule make-ups based on customer request, but we are limited on class availability and we may not be able to meet every need. To accommodate make-ups, we may put your child in the level below or above their current level. Make-ups can be scheduled up to one week in advance and must be canceled at least 24 hours in advance. Missed make-up lessons cannot be rescheduled. If you need to cancel or reschedule your make-up, please log into the Customer Portal at least 24 hours in advance. There are a few ways that you can schedule a makeup for your child:
- Log into the Parent Portal, select “Absences & Make-ups” from the menu in the top right corner, and schedule your child’s make-up class.
- Send an email to info@aquaticabilities.com and request a make-up.
Communication
Aquatic Abilities uses email and text notifications as our primary forms of communication with customers. Please make sure that your email and phone numbers are correct. Email and text notifications include teacher absences & changes, class cancellations, billing information, etc. We will not contact individual families who have opted out regarding general communication. We recommend accessing the Parent Portal to submit absences, schedule make-ups, view student progress, and more!
Weather Policy
We do our best to make weather-related decisions in a timely manner, however it is not always possible. Therefore we recommend all families check email (look in SPAM folders), Facebook, and our website. We will use all of those communication methods to relay closing information.
- If the outside air temperature is below 68 degrees 30 minutes before lessons start, we will cancel lessons and schedule make-ups.
- If the outside air temperature drops below 68 degrees during lessons, we will continue with a normal schedule as long as possible.
- In the event of severe weather (lightning and storms), the pool will be cleared for 30 minutes from the last sighting of lightning or sound of thunder. If severe weather continues for more than an hour, we may cancel classes and schedule make-ups.
- We will swim in rain, as long as the air temperature is at least 68 degrees and there is not lightning or thunder.
- All students will be given a make-up if they do not get to swim due to weather.
- We reserve the right to cancel lessons if we feel it is in the best interest of our swimmers and instructors.
Evaluations & Promotions
All students are evaluated during the seventh lesson of the session and instructors will update skills in the Parent Portal. If a student is being promoted, we will notify parents at the last lesson and then they can contact us to find a new class.
Health & Safety
SWIM DIAPERS: Children who are under 3 years old OR are not 100% potty-trained must wear either a Happy Nappy Duo swim diaper or a Happy Nappy swim diaper with a Happy Nappy liner underneath. These swim diapers can be purchased in our office. Swim diapers should fit snugly around the legs and waist. There should not be any space or gaps. Disposable swim diapers CANNOT be worn under the reusable swim diapers. Regular disposable diapers are not permitted in the pool. Our definition of potty-trained is: A child who has the capacity to know when they need to use the restroom and will ask to be let out of the pool to go to the bathroom. If your child is not quite there, please put them in a reusable swim diaper. If an accident occurs while wearing a reusable Happy Nappy diaper, the child will be required to wear two reusable swim diapers. Children under the age of 3 who are not wearing a reusable Happy Nappy diaper will not be allowed in the pool.
ATTIRE: We recommend that children wear a swimsuit, swim bottoms & rashguard, swim trunks, etc. It is also recommended that students wear a rashguard for outdoor lessons, as it helps prevent sunburn and will keep them warmer if the air is cool!
SWIM CAPS: We recommend that all children over the age of 3 years old whose hair is long enough to get in their eyes wear a swim cap. This prevents the swimmer’s hair from interfering with breathing. While we encourage all children to wear a swim cap, we understand that some may have sensitivities and be unwilling or reluctant to do so. If your child has a sensitivity that would be affected by a swim cap, please let your instructor know and we will accommodate their needs. Due to allergies, latex swim caps are not allowed to be worn. Silicone and lycra caps can be purchased at our retail shop or most sporting goods stores.
EATING: We request that students refrain from eating large amounts of food within 2 hours of their swimming lesson. The movement in the water can often upset children’s stomachs and vomiting in the pool forces us to cancel lessons. Please only give children a small snack before their class.
ILLNESS & INJURY: If your child or anyone in your household is ill, we ask that you stay home until fever-free for at least 24 hours without the use of fever reducing medication. Individuals with open wounds are not allowed in the pool. Please remove band-aids before entering the pool.
